Simon Pyne trading as Grip & Green is the controller of personal information used to run this store and our customer relationships. This notice covers our website, enquiries, orders, gift recipients and marketing. Our Cookie Policy explains cookies and similar technologies.

Information we collect

We receive names, contact details, billing and delivery addresses, order details, gift messages, enquiries, returns information and marketing preferences when you shop, subscribe or contact us. A purchaser may supply a gift recipient’s name, address and message. We use that information to deliver the gift and deal with delivery enquiries; being a gift recipient does not automatically add you to our marketing list. Please supply only information needed for the gift and let the recipient know about this notice where appropriate.

Shopify and our payment providers process payment details. Our order records include payment status and transaction references; please do not send us full card details by email or contact form. When you use the store, Shopify also processes technical and usage information, such as IP address, device/browser information, page and shopping activity, and cookie preferences, subject to applicable consent choices.

Why we use it and our lawful bases

  • Orders, payments, dispatch, cancellations and customer service: to perform our contract with you or take steps at your request before a contract. For gift recipients, our legitimate interests in fulfilling the purchaser’s order and delivering the requested gift.
  • Accounting, tax and legal obligations: compliance with legal obligations.
  • Security, fraud prevention, handling enquiries and legal claims: our legitimate interests in protecting customers, operating a reliable business and resolving problems. We consider your rights and interests when relying on this basis.
  • Email news, gift ideas and offers: your consent when you subscribe. We will only use the existing-customer exception for our own similar products where all legal conditions are met, including an opt-out when details are collected and in every message; the data-protection basis for that limited activity is our legitimate interests in promoting our own similar products.
  • Optional analytics, personalisation and advertising technologies: consent through the relevant cookie controls. Essential store operations do not depend on accepting optional tracking.

Marketing choices

Buying from us, agreeing to our terms or reading this policy does not itself amount to marketing consent. You can choose whether to receive marketing emails using the sign-up or checkout controls. Every marketing email will include an unsubscribe option. You can also email simon@gripandgreen.com to withdraw consent or object to direct marketing at any time. This does not affect order confirmations and other necessary service messages. We do not automatically enrol you for marketing by SMS or WhatsApp.

Who receives information?

We share information needed to provide services with Shopify (our commerce platform, hosting, store administration and related communications tools), payment processors, Royal Mail or another agreed delivery carrier, and providers supporting our email, IT and business administration. Professional advisers, accountants, insurers and authorities may receive relevant information where needed for advice, legal obligations or claims. Providers acting on our behalf must handle data under appropriate contractual safeguards. We do not give our customer mailing list to The Cornish Company for its own marketing.

Shopify and personalised services

Our store uses Shopify Network Intelligence, which uses information about interactions with our store, other merchants and Shopify to help protect and improve Shopify services and provide enhanced features, including personalisation and advertising. Where required, optional tracking and advertising based on that activity require your consent. You can decline optional purposes or change your cookie choices. For certain enhanced services Shopify acts as a controller in its own right and handles the associated rights requests.

Read the Shopify Consumer Privacy Policy and use the Shopify Privacy Portal to learn about Shopify’s processing, withdraw consent or object to its advertising-related use of your data. You can also contact us about our use of your information.

Partner websites

For a corporate hamper order placed through Grip & Green, we share the recipient and order details needed with The Cornish Company and its delivery providers to prepare and deliver the gift. This may include the recipient’s name, delivery address, delivery contact details and gift message. Contacting us about a partner product does not authorise disclosure of your details for that partner’s marketing.

International processing

We operate in the UK. Shopify and service providers may process information in other countries. Where processing involves a restricted international transfer, the applicable protection must be in place, such as a UK adequacy decision or approved contractual safeguards, including the UK International Data Transfer Agreement or UK Addendum where appropriate. Shopify explains its arrangements in its privacy information. Contact us for information about safeguards relevant to your data.

How long we keep information

Our retention approach is to keep order, accounting and related complaint records for up to six years after the relevant transaction or matter closes, to meet record-keeping needs and handle claims. Some tax records may need to be kept longer according to the applicable tax-year deadline. We normally retain enquiries that do not lead to a purchase for up to two years after the last contact, unless a dispute or other justified need requires longer retention.

We retain marketing subscription information while you remain subscribed, review inactive marketing contacts at least every two years, and remove or refresh records that are no longer needed. If you unsubscribe or object, we retain the minimum suppression information needed to respect your choice. Cookie durations are described in our Cookie Policy. Relevant information may be kept longer where required by law or an ongoing legal claim.

Your rights

Subject to the conditions in data-protection law, you can request access, correction, deletion, restriction or transfer of your personal data and object to processing based on legitimate interests. You have an unconditional right to object to use of your information for direct marketing. You may withdraw consent at any time without affecting processing that was lawful before withdrawal. Contact us using the details above. We normally respond within one month and will explain any lawful extension or restriction. We may need proportionate identity verification.

You can complain to the UK Information Commissioner’s Office: ico.org.uk/make-a-complaint, telephone 0303 123 1113. You may contact us first so we can help, but do not have to do so before contacting the ICO.

Security and updates

We use appropriate access controls and organisational measures to protect information, but no system is completely risk-free. We will update this notice when our processing changes and provide additional notice where required. Providing information needed for an order is necessary for us to process and deliver it; optional marketing and tracking choices are not conditions of purchase.

Cookies and similar technologies

Cookies are small files stored on your device. Similar technologies may record device or browsing activity. Essential cookies support the basket, checkout, security and privacy preferences. Optional cookies support analytics, personalisation and advertising, including Shopify enhanced services where enabled.

Where shown, our cookie banner offers Accept, Decline and Manage preferences. Declining optional tracking does not prevent a purchase. Cookie consent is separate from email marketing consent. Use Manage preferences or the Cookie preferences control in the store footer, where available in your region, to change your choices. Contact us for help or use the Shopify Privacy Portal linked above for rights over Shopify’s enhanced services.

We will update this information and obtain any required consent before introducing new tracking providers or purposes.
